Medical Device Graphic Overlay Artwork: Inputs to Freeze for Sample Builds

Medical device control surfaces should not move into a sample build until the overlay inputs are fixed in writing. For a graphic overlay, that means the window area, printed legends, surface texture, adhesive landing, tail or connector clearance and cleaning exposure are defined before the supplier prepares the first article. If these inputs stay open, the sample may pass a visual review but fail during cleaning, assembly or label review.

The timing matters in 2026 because medical device quality systems are being reviewed under updated expectations. The Federal Register notice for the FDA's Medical Devices; Quality System Regulation Amendments states that the final rule amends device quality-system requirements and aligns them more closely with ISO 13485:2016. The component decision is smaller than the regulation, but the practical message for a buyer is clear: artwork, material and traceability choices should be documented before the overlay drawing is frozen.

Freeze the use environment before the artwork file

Start with the use environment, not the color file. A home-use monitor, therapy controller, cart-mounted device and handheld diagnostic accessory may all use a front graphic overlay, but their risks are different.

The buyer should state whether the panel is touched by bare fingers, gloves or a caregiver's cleaning cloth. Note whether the device is used near alcohol wipes, disinfectant sprays, skin oils, gel residue, condensation or bright exam-room lighting. If the overlay sits around a display, add the display size, viewing angle, expected glare control and whether a clear, matte or anti-glare window is needed.

This step prevents a common sample-stage failure: the printed face looks correct on a desk, but the surface finish is too glossy under room lights or the adhesive edge is placed where wiping pressure can start a lift path.

Separate label artwork from functional zones

A graphic overlay is not only a printed label. On a medical control surface it may include a display window, icon legends, button islands, indicator windows, screw or gasket keep-outs and a tail slot or connector route when it is integrated with a switch stack.

Before the supplier prepares tooling or film output, mark each zone by function:

This separation helps the supplier choose print side, ink protection, spacer location, adhesive mask and die-cut tolerance. It also helps the buyer review the sample by function instead of only asking whether the front view matches the PDF.

Choose PET or PC by cleaning, window and feel

PET is often chosen when the buyer wants abrasion resistance, stable printed graphics and a thin flexible front layer. PC can be useful where formability, certain finishes or impact feel matter. The right choice depends on cleaning exposure, window clarity, surface texture and the housing shape.

For a wiped medical panel, ask for the cleaning agent list before the film is selected. Alcohol, disinfectant wipes and repeated dry rubbing can affect gloss, ink protection and edge adhesion differently. If the device has a display window, define whether the window must stay optically clear, lightly textured or anti-glare. If the keys must be found by touch, decide whether embossing, domed areas or printed icons are enough.

There is a tradeoff. A more textured surface can reduce glare and fingerprints, but it may make a small display window look less clear. A smooth window can improve readability, but it may show scratches or fingerprints sooner. These choices should be tested on the sample, not debated after mass-production artwork is released.

Document edge and adhesive limits

Many overlay complaints start at the edge. The part may lift near a curved housing, a screw boss, a display window corner or a tail exit. For a medical device, that is not only a cosmetic issue. A raised edge can collect residue, make cleaning harder or change how a user presses the control area.

Send the housing drawing with the overlay outline. Mark radius changes, texture on the housing, powder coating, painted surfaces, ribs, screw locations and any gap where liquid could sit. If the overlay must fit into a recess, include the recess depth and corner radius. If the part covers a display, send the display opening and tolerance stack.

For adhesive review, state the substrate material and finish. PET or PC film, ink layer, adhesive type, release liner, gasket area and housing coating work as a stack. A sample that bonds well to a smooth test plate may not represent the real housing.

What to send for the sample build

A good RFQ package should let the supplier quote and sample the same design. Send the front artwork, outline drawing, section stack, display-window requirement, surface finish, color reference, cleaning exposure, adhesive landing, housing material and estimated quantity. Add photos of the device front if a replacement or redesign is involved.

For medical projects, also ask how samples will be identified. Useful sample evidence may include part revision, material callout, adhesive type, print side, inspection points and any cleaning or rub test the buyer wants to run. Keep the test practical. A graphic overlay supplier can prepare and document the component sample, but the OEM must decide whether the finished device meets its complete quality and regulatory requirements.
