An HMI quotation can go wrong before anyone discusses materials or quantity. The buyer asks for a "complete control panel," while one team means the printed front interface and another expects a controller PCB, display electronics, firmware and tested machine behavior. The quotation may look complete, yet the first sample arrives with an undefined electrical boundary.
Remove that ambiguity before pricing. Mark what belongs to the front panel, what belongs to the equipment electronics and what must be proven at the connector between them. A custom HMI panel solution can include the overlay, key structure, printed circuit, display window, lighting zones, flexible tail and connector-ready interface. The equipment maker still owns the controller architecture, firmware, power design, display module, safety logic and validation of the complete machine.
The product image for this guide shows a complete membrane keyboard panel with key fields, a touchpad area, a full flexible tail and a connector. It is component evidence. It does not show a controller PCB or prove that the panel is ready for a particular machine.
Write the quotation boundary before counting keys
Start with a one-page scope table. Put each item in one of three columns: supplied with the HMI panel, supplied by the equipment maker, or jointly reviewed at the interface. Do this before sending artwork for a formal quotation.
The panel-supplier column may include the printed overlay, windows, embossed or flat keys, spacer and dome structure, printed circuit, backlight parts, adhesive, tail, stiffener and connector termination. The equipment-maker column normally includes the main PCB, power regulation, display module, communication bus, controller firmware, protective circuitry and system-level compliance work.
The joint-review column is where sample problems usually hide. It should cover connector model, pin numbering, mating direction, contact side, pull-up or pull-down assumptions, LED polarity, supply limits, signal common, display-window clearance and the mechanical route from the panel to the PCB.
A clear boundary also prevents a cost comparison from mixing unlike offers. One supplier may quote a complete membrane-switch assembly with a terminated tail. Another may quote only the printed overlay. A third may include a small interface PCB. Place the deliverables beside each price instead of comparing only the total.
Treat the tail and connector as an interface contract
The flex tail is not simply a length dimension. It is the electrical and mechanical handoff between the front panel and the controller. Its drawing should state the tail exit, total length, conductor count, pitch, contact side, stiffener details, connector model and installed bend route.
Add one front-view orientation mark and one connector-view sketch. Number the pins from a named viewing direction. If the PCB drawing numbers the mating connector from the opposite face, show both views on the same page. This avoids a mirrored pin map that can make every physical key appear to operate the wrong input.
Confirm the available space around the connector as well. A connector can be electrically correct but inaccessible after the display bracket, gasket or enclosure rib is installed. The first bend must start far enough from the panel edge and stiffener to avoid a sharp fold. The tail should not rub a fastener, cross a hot surface or pull on the panel when the service cover opens.
For a connector-free contact tail, state the mating method and contact finish instead of leaving the PCB team to infer it. For a terminated connector, identify the exact housing and mating part or provide an approved equivalent rule. A photograph alone cannot control pin pitch, latch orientation or contact side.
Separate panel signals from controller behavior
The front panel drawing should define observable component outputs, not promise complete machine behavior. For each key or sensor zone, record the associated pins, normal state and expected change when actuated. For each indicator, record its pins, polarity and any component-level electrical limit agreed for the panel.
The controller specification should separately define debounce, long-press timing, key combinations, menu navigation, fault response, brightness control and what happens after a power interruption. Those behaviors are created by electronics and firmware even when the operator experiences them through the same front surface.
This separation matters during troubleshooting. If a key does not trigger the expected machine action, the team should be able to test continuity at the panel connector first. If the connector signal changes correctly, investigation moves to the PCB input and firmware. If it does not, the panel circuit, tail, connector or installed preload becomes the next check. Without that boundary, a system symptom is easily blamed on the wrong supplier.
Use the same rule for backlighting and display windows. The panel supplier can manufacture light-blocking layers, legends and a window to an agreed geometry. The equipment team chooses the LEDs or driver when they are outside the panel, controls brightness and owns the display content. Mounted optical acceptance should check both sides together.
Approve the mechanical stack in the real housing
A loose panel can pass continuity while the mounted assembly fails. The housing may twist the panel, load a key continuously, move the display relative to its window or force the tail into a tight bend. Add a section view through the panel, adhesive or gasket, housing, display and any backing plate.
Use stable housing datums for the outer perimeter, window, key centers and tail exit. State the available adhesive land and any areas that must stay clear for a display opening, vent, screw or service feature. If the panel spans a recess, identify the unsupported area and the backing condition under each key.
The mounted sample should prove at least these points:
- every key returns to its normal electrical state after release;
- the display active area remains visible through the full tolerance stack;
- the tail reaches the connector without a crease or pull load;
- the connector can be inserted, latched and serviced in the final orientation;
- indicator and backlight zones remain readable at the intended viewing angle;
- adhesive, gasket and housing edges remain seated after the defined operating test.
Record the housing revision used for approval. A successful bench sample does not automatically approve a later enclosure change.
Test the cross-boundary cases, not only each part
Choose a small set of tests that cross the panel-to-controller boundary. Press one key at the edge of the keypad while monitoring the intended connector pins. Repeat after the tail is routed and the enclosure is closed. Operate two keys that must not be confused, then check one indicator driven through the agreed pins.
If the design has a touchpad, display window or backlight, include one case for each. Check that the touch area remains usable after mounting, that the display is not clipped and that the lighting circuit does not create an unintended input. The equipment maker should define system pass criteria, while the panel supplier can help isolate the component evidence.
Do not use a single "HMI passed" result. Keep separate records for panel continuity, connector mapping, mounted fit, optical appearance and controller behavior. When a failure occurs, that evidence shows where the handoff stopped working.
Send one responsibility matrix with the RFQ
Prepare one package that lets both sides price the same scope. Include:
- front artwork with key, indicator and window functions;
- panel perimeter, housing datums, section stack and adhesive or gasket land;
- tail exit, route, length, connector and mating orientation;
- key-to-pin and indicator-to-pin tables with named drawing views;
- expected signal behavior at the connector;
- a list of buyer-supplied PCB, display, firmware and power items;
- mounted sample tests and who records each result;
- prototype quantity, annual quantity and target approval sequence.
