An LED membrane switch RFQ needs more than a note that says “add red and green lights.” The drawing should connect each visible indicator window to a physical LED location, a circuit reference, a polarity or common-rail definition, a tail pin and an operating state. Without that chain, the overlay can look correct while the circuit, connector and controller expect different signals.
Start with the user-facing indicator map, then lock the electrical table and mechanical stack around it. The buyer or PCB owner still defines the driver circuit, supply limits, firmware behavior and final equipment acceptance.
Give every indicator one stable identity
Artwork labels are not enough for circuit control. A legend may change between language versions while the electrical function remains the same. Assign each indicator a stable reference such as LED1, LED2 and LED3, then use that reference in the artwork drawing, circuit diagram, pin table and test record.
For each reference, define the visible function, requested color, on/off behavior and whether the light is steady, flashing or controlled by a separate dimming method. If one window can show two colors, state whether it uses two LED devices, one multi-color device or another approved construction. Do not let the supplier infer this from a colored artwork file.
The failure mode is easy to miss at quotation. Two drawings can show three colored circles in the correct positions, yet the circuit revision may swap LED2 and LED3. The sample then lights the wrong status window even though the front print and keypad functions appear normal.
Put LED polarity and key contacts in one pin table
A membrane keypad matrix and its indicators can share the same tail, but they are not the same electrical load. The pin table should separate key rows and columns from LED lines. Show each LED anode and cathode, or show the approved common-anode, common-cathode or shared-return arrangement. Mark the connector view and Pin 1 so the table cannot be mirrored during PCB integration.
Include these fields on one controlled page:
- indicator reference and front-panel function;
- LED color or approved color range;
- anode, cathode and any shared rail;
- tail contact number and connector position;
- key-matrix row and column contacts in a separate block;
- connector part number, mating direction and Pin 1 view;
- driver ownership and any provisional electrical value.
Do not ask a membrane switch sample to prove a driver condition that has not been defined. If forward current, PWM method, series resistance or supply limit remains a PCB decision, mark it as buyer-controlled and provide the test fixture condition used for sample approval.
Dimension the light center from the panel datum
The optical window, LED body and circuit pad need a common mechanical reference. Dimension each light center from the same panel datums used for the keypad outline and housing location. Avoid a chain of dimensions from one indicator to the next. A small error repeated across the chain can place the final LED close to the printed border or outside the housing light well.
Show the indicator window size separately from the LED or light-guide feature beneath it. A larger printed window does not correct an off-center light source. If the housing has a light pipe, bezel opening or internal boss, add its center and clearance to the assembly drawing. The useful check is the assembled light path, not a loose circuit held under the overlay.
There is also a height tradeoff. A discrete LED, spacer opening, adhesive stack and embossed key field can compete for thickness inside a thin panel. If the LED area sits too high, the overlay may show a bump or receive unintended pressure. If it sits too low or far from the window, the visible spot may be weak or uneven. Define the intended construction and inspect the mounted sample before freezing the spacer and adhesive die lines.
Separate indicator windows from tactile key zones
An indicator can sit close to a key, but it should not be mistaken for the actuation center. The artwork needs to make the status field and the operator input field visually distinct. The mechanical drawing should also prevent a metal dome, spacer vent or key emboss from overlapping the LED pocket.
Review the panel at three states: unpowered, powered in normal room light and powered in the darkest expected operating condition. Check whether an unlit window still reads as a status element, whether a lit indicator bleeds into a neighboring legend, and whether pressing the nearest key changes the light appearance. This sample review belongs to the specific artwork, spacer and housing stack. A bare LED brightness check cannot replace it.
If dead-front artwork is required, send an approved unpowered appearance reference and a powered target for each color. Do not promise an exact visual match from a screen image alone. Ink density, diffuser construction, LED distance and viewing angle all affect the final result.
Approve the tail and connector with every function active
A continuity test can confirm the keys while leaving the indicators untested. Build a sample fixture that operates every key contact and every LED line through the specified connector. The fixture should use the approved connector orientation and the same pin map sent with the RFQ.
Record at least:
- every key response by key reference;
- every indicator response by LED reference;
- correct color and physical window location;
- polarity or common-rail behavior;
- no unintended indicator response during key actuation;
- connector seating and tail strain relief;
- the artwork, circuit, tail and PCB-interface revisions tested.
If the production controller is unavailable, use a documented bench fixture and label controller-dependent behavior provisional. This keeps a passed lamp check from being mistaken for final equipment validation.
Send an LED control sheet with the quotation package
The fastest RFQ review uses one LED control sheet that links visible appearance to the circuit interface. Attach the front artwork with LED references, the mechanical center coordinates, the circuit diagram, the tail pin table, connector data and the intended test condition. Add a housing section when a light pipe, bezel, adhesive recess or shallow cavity affects the optical stack.
When sending the Request Quote, identify which fields are fixed and which remain open for construction review. Also state whether the first sample is for artwork approval, electrical fit, optical review or all three. That lets the quotation separate confirmed inputs from assumptions and gives the sample team a clear pass/fail record for each indicator and key.
